This Cancellation Policy applies to all Freedom Mailbox® mailbox renters and governs the process, requirements, and responsibilities associated with closing a mailbox account.

How to Cancel Your Mailbox

Mailbox renter–initiated cancellations must be made by the mailbox renter through the online mailbox user portal.Cancellations submitted by email, phone, or text message are not accepted and will not be considered valid for mailbox renter–initiated cancellations. Mailbox renter–initiated cancellation is effective only when completed through the online mailbox user portal. Requests submitted by any other method do not constitute valid cancellation and do not stop billing.

Freedom Mailbox®–initiated account closures are governed by applicable company policies and may not follow the mailbox renter–initiated cancellation process.

Effective Date of Cancellation

Mailbox service remains active until a cancellation request is successfully submitted through the online mailbox user portal and all outstanding balances, fees, and obligations are satisfied. By submitting a cancellation request, the mailbox renter acknowledges that billing authorization remains in effect until the cancellation becomes effective based on the selected cancellation timing and satisfaction of all outstanding obligations.

By completing the cancellation process through the mailbox dashboard, the mailbox renter affirms that they are the authorized account holder or authorized user and that they consent to all charges incurred prior to the effective cancellation date.

At the time of cancellation, the mailbox renter may be presented with one or more cancellation timing options through the mailbox dashboard, which may include, for example:

  • Cancellation effective at the end of the current billing period, or
  • Immediate cancellation upon confirmation

The effective date and time of cancellation will be determined based on the option selected by the mailbox renter through the mailbox dashboard and will be reflected in the cancellation confirmation.

Freedom Mailbox® does not backdate cancellations. Charges incurred prior to the selected cancellation effective date remain the responsibility of the mailbox renter.

Cancellation timing options are determined by system availability and account status and may vary based on billing, compliance, or outstanding obligations.

Mail Handling After Cancellation

Upon the effective date of mailbox cancellation, the mailbox renter's authorization under USPS Form 1583 is terminated. However, Freedom Mailbox® continues to operate as a Commercial Mail Receiving Agency (CMRA) and remains subject to applicable USPS requirements.

In accordance with USPS Commercial Mail Receiving Agency requirements, including guidance set forth in USPS Publication 508, Freedom Mailbox® will continue to accept USPS mail addressed to the former mailbox renter for up to a maximum of six (6) months following the effective date of mailbox cancellation.

During this post-cancellation period:

  • USPS mail may be held, returned to sender, or forwarded in accordance with USPS procedures and Freedom Mailbox® policies.
  • Freedom Mailbox® is not required to open, scan, forward, or otherwise process mail unless separately requested and paid for by the former mailbox renter.
  • Mail not claimed, forwarded, or otherwise directed during this period may be returned to sender in accordance with USPS rules. The timing and method of any return to sender are governed by USPS procedures and Freedom Mailbox® operational policies.

After the six-month USPS retention period expires, Freedom Mailbox® is no longer required to accept USPS mail addressed to the former mailbox renter.

Acceptance of USPS mail during the post-cancellation period does not include free processing, forwarding, scanning, or storage beyond what is required by USPS regulations.

Freedom Mailbox® does not guarantee delivery of USPS mail sent after cancellation due to factors outside its control, including sender error or postal service routing.

Forwarding of USPS mail during the post-cancellation period occurs only if separately requested and paid for by the former mailbox renter.

Private Carrier Deliveries (UPS, FedEx, Amazon, DHL, and Similar Carriers)

USPS CMRA requirements do not apply to private or non-USPS carriers.

Accordingly:

  • Freedom Mailbox® is not obligated to accept packages delivered by private carriers after mailbox cancellation.
  • Such deliveries may be refused at delivery, returned to sender, or handled in accordance with carrier policies.
  • Packages delivered without the ability to refuse (e.g., unattended drop-offs) may be deemed unauthorized or abandoned and handled at Freedom Mailbox®'s discretion in compliance with applicable law, without obligation to notify the former mailbox renter.

Freedom Mailbox® Responsibilities

Upon proper cancellation, Freedom Mailbox® will:
  • Deactivate the mailbox address for new non-USPS and private-carrier mail acceptance, subject to USPS CMRA requirements.
  • Stop recurring billing for future billing cycles once cancellation is confirmed, subject to any outstanding balances, disputes, or chargebacks.
  • Close the mailbox renter's account in the system
  • Access to images/scans may be removed from the mailbox renter dashboard after cancellation. Freedom Mailbox® may retain records as required by law, USPS regulations, or legitimate business purposes

Failure by the mailbox renter to properly cancel, monitor their account, or update mailing information does not constitute a service failure by Freedom Mailbox®.

Freedom Mailbox® is not responsible for notifying senders, forwarding agencies, or third parties of a mailbox renter's cancellation.

No Liability After Cancellation

To the fullest extent permitted by law, Freedom Mailbox® shall not be liable for loss, delay, refusal, return, or disposition of mail or packages delivered after the effective cancellation date, provided handling is consistent with USPS CMRA requirements and applicable carrier rules.

Freedom Mailbox® does not guarantee the receipt, timing, or delivery of mail or packages, as mail handling and delivery are controlled by third-party carriers and senders.

Mailbox Renter Responsibilities Upon Cancellation

The mailbox renter is solely responsible for monitoring their account, billing status, and cancellation settings through the mailbox dashboard. Before submitting a cancellation request, the mailbox renter is responsible for:
  • Updating mailing addresses with senders, financial institutions, government agencies, and third parties
  • Ensuring all expected mail and packages have been received or forwarded
  • Submitting any final mail forwarding requests prior to cancellation
  • Paying all outstanding balances, including mailbox fees, forwarding charges, handling fees, storage fees, or other accrued charges

Failure to complete these steps may result in loss of mail after cancellation.

Account Access After Cancellation

Access to the online mailbox user portal and related services is terminated after cancellation. Mailbox renters are encouraged to download or save any needed records prior to submitting a cancellation request.

Account access is not reinstated after cancellation unless a new mailbox agreement is executed.

Refunds & Fees

  • Mailbox rental fees are non-refundable, except where required by law or explicitly stated in a written agreement
  • Partial-month refunds are not provided
  • Any services performed prior to cancellation — including mail handling, storage, scanning, or forwarding — remain chargeable

Cancellation does not retroactively void charges incurred prior to the effective cancellation date, and previously assessed charges are not refundable due to cancellation timing or customer oversight.

Lack of mailbox usage, mail volume, or customer activity does not eliminate or reduce billing obligations.

Policy Enforcement

Failure to follow the cancellation process outlined above may result in:
  • Continued billing
  • Mail refusal, return to sender, or lawful disposition consistent with USPS CMRA requirements and applicable carrier rules
  • Delayed account closure

This policy is enforced uniformly to ensure compliance, security, and operational integrity.

Account system records, timestamps, and access logs maintained by Freedom Mailbox® shall constitute conclusive evidence of cancellation activity, billing authorization, and service status.

Freedom Mailbox® reserves the right to update or modify this Cancellation Policy at any time. The most current version posted on the website governs.

Nothing in this policy obligates Freedom Mailbox® to act as an agent for a former mailbox renter after cancellation.

Freedom Mailbox® may retain account records, access logs, billing confirmations, and cancellation activity to demonstrate compliance with published policies and resolve billing disputes.

Continued use of the mailbox service constitutes acceptance of all billing, cancellation, and mail handling policies in effect at the time charges are incurred.
